IRS 2290 payment is a vital part of tax season for commercial truckers. Sometimes called the Heavy Highway Vehicle Use Tax, IRS Form 2290 assesses heavy vehicle taxes for vehicles that regularly operate on public highways. It ensures that truckers who regularly use highways within a given year must contribute to their upkeep and maintenance. 

IRS Form 2290 payment applies to all highway motor vehicles whose taxable gross weight is at least 55,000 lbs. It must be paid by anyone with such a vehicle registered in their name, whether an individual or organization. Failure to pay the tax can result in penalties of 4.5% of the total amount due or more as time goes on.

IRS Form 2290 Payment: A Detailed Look

If you’re new to the 2290 IRS payment or simply want a refresher, you’ve come to the right place. Below, we’ll go through IRS Form 2290, section by section. To file manually, follow these steps.

  1. Fill out your name, address, and employer identification number (EIN). 
  2. Check the appropriate box if you’re filing an address change, amended return, VIN correction, or final return. 
  3. Part I Figuring the tax: Start by computing your taxes on Page 2 of the form. Then, fill out Part I.
    1. a. Line 1 is the month for which you are filing. 
    2. b. Line 2 is the total you reached on Page 2, Column 4.
    3. c. Line 3 is for any additional taxes due to a change in taxable gross weight. If any of your vehicles fall into a new category due to increased maximum load, instructions for Line 3 are available on the IRS website.
    4. d. Line 4 is the total tax, found by adding lines 2 and 3. 
    5. e. Line 5 is where you can claim any credits due to you. If doing so, you must attach documentation to support your claim. 
    6. f. Line 6 is the balance due, calculated by subtracting Line 5 from Line 4. 
    7. g. Check the appropriate box on Line 6 stating whether payment is through EFTPS or a credit or debit card.
  4. Part 2 Statement in Support of Suspension: Check the appropriate boxes if applicable.
    1. Line 7 claims tax suspension based on the miles your vehicles will travel on public highways during the period.
    2. Line 8a declares your vehicles are not subject to the tax, except those listed. Line 8b is a space to record the VINs of any vehicles that no longer meet the parameters for suspension. Attach an extra page if needed.
    3. Line 9 declares any vehicles listed as suspended during the prior year that have since been sold or transferred. Include the details for these vehicles, including VINs, new owners, and date of sale. Again, attach an extra sheet if needed.
  5. List any third party you want to designate as a contact point for the IRS. 
  6. Sign the form, date it, print your name below your signature, and include your contact phone number.
  7. The last section is for the use of paid tax professionals. If this is not you, leave this portion of the form blank.

Once you’ve filled out the main form, move on to Schedule 1. There, you’ll fill out your basic information (name, address, EIN), the month of first use, and the VIN and category for each vehicle you’re reporting. Below, list the total number of vehicles reported, the number of vehicles for which this tax is suspended, then subtract suspended vehicles from reported vehicles. 

Sign and date Schedule 1 on the page titled “Consent to Disclosure of Tax Information” and include your printed name and EIN. Finally, fill out the payment voucher (Form 2290-V) with details of your payment, detach it, and send it to the IRS along with your IRS gov payments 2290 and documentation.

Who Needs To File Form 2290?

This is just a quick video. Don’t scroll, don’t go away. Stick with me for like five seconds. A 2290 is an IRS Federal Form that you have to file once a year. It’s an annual tax form. If your truck is over 55,000 pounds, you have to file. The maximum weight it goes up to is over 75,000, which means if you drive an 80,000-85,000, you’re still required to file 2290

Like if you go to Publix and you check out and you get your receipt, your stamped Schedule One is your receipt. That is what you need to renew your plates. That’s what your company needs if you’re leased on with the company. That is the form that they want. They want to see that stamped Schedule One so that they can renew the plates when it comes time. So that’s the gold nugget right there, is that stamped Schedule One. 

You’ll get that in your email within about five to ten minutes. If you get a text notification, you’ll be notified. We also offer postal mailing. This is cool because we use a SOC-2 certified company. They mail out that stamped Schedule One to you. It’s calibrated so that everything is perfect on there. You won’t have any problems when you go to the DMV to renew your plates, and that’s why we offer that postal mail. So if you choose that, that will be mailed to your address. You’ll get that, you’ll be able to take that to renew your plates. Also, it’s good to keep one in the cab of your truck as well. If you get pulled over, dot any of those things, it’s good to be able to show them that you have a current stamped Schedule One right there in your truck. 

The tax year begins July 1st, and you must file by August 31st. So there’s a two-month little window there that, regardless of when your plates expire, we get this all the time, “Well, my plates don’t expire until February.” That’s great, but your 2290 is still due in July.

Amendments and Form 8849

If your vehicle weighing 55,000 pounds or more travels 5,000 miles or less in a year, or 7,500 miles or less if it is used for agricultural purposes, your vehicle is considered suspended by the IRS. You still have to file Form 2290 for this vehicle if this is the case, but no tax will be owed. If you end up filing the vehicle as suspended and it ends up exceeding the mileage limit, you must file a Form 2290 mileage exceeded amendment. You will then have to pay the tax amount for the full tax year to the IRS. If you file Form 2290 and pay the tax but don’t end up exceeding the mileage limit, you will have to file Form 8849 to get a refund for the tax amount paid.

If the weight of your vehicle increases or the weight was filed incorrectly, you will have to file a Form 2290 weight increase amendment and pay the tax amount that is owed to the IRS.

What is Form 2290?

Form 2290 is an IRS tax form that must be filed annually for vehicles weighing 55,000 pounds or more for the Heavy Vehicle Use Tax. 

What is an EIN?

EIN stands for Employer Identification Number. It is a unique nine-digit number that the IRS assigns to businesses operating in the United States for the purpose of identification and keeping track of business tax records.  

Do you need an EIN to e-file Form 2290?

In order to e-file Form 2290, you need to provide your EIN number. You are unable to e-file Form 2290 with an SSN (Social Security Number).

What should you do if you do not have an EIN?

If you do not have an EIN number and need to e-file Form 2290 you are able to apply for one online or over the phone by contacting the IRS. Once the IRS processes your request, you will receive your EIN. Please note that since the COVID-19 pandemic, it may take up to 2 to 4 weeks for your EIN to become active in the IRS e-filing system. The IRS will reject your Form 2290 if your EIN doesn’t match IRS records or if it is not yet active in the e-filing system. If your Form 2290 is rejected because your EIN is new, you are able to retransmit your Form 2290 once a day until it is accepted at no additional cost. 

What if you have multiple EINs?

Each business is assigned one EIN number. Make sure to check the documents provided by the IRS when you applied for your EIN in order to find the correct EIN that corresponds with the business you are filing for. If your EIN is wrong, your Form 2290 will be rejected by the IRS.

What if you e-filed Form 2290 with the wrong EIN?

If you e-file Form 2290 and make any mistakes when entering your EIN, the IRS will reject your return. You can then retransmit your EIN with the correct EIN. If you handle multiple businesses however and use the EIN for a different business by mistake, there is a chance the IRS will not reject your Form 2290. In this case, you will need to e-file a new Form 2290 with the correct EIN and then e-file Form 8849. You will need to provide a detailed explanation as to why you are filing Form 8849 so that you can get a refund for the original filing.

What is Form 2290?

When is Form 2290 due?

The deadline to file Form 2290 is August 31st for vehicles that have been on the road for a year or more or are being put on the road for the first time in July. If the vehicle has been on the road for less than a year the month it is put on the road for the first time is known as the vehicle’s First Used Month (FUM). Form 2290 needs to be filed by the last day of the month following the vehicle’s First Used Month and the tax amount due will be a prorated amount for the remaining months in the tax year. 

What is Form 8453-EX?

The technical term for Form 8453-EX is “Excise Tax Declaration for an IRS e-file Return”, which is a declaration by the taxpayer to authenticate an electronic Form 2290 and authorize a service provider to transmit your return using a third-party transmitter. If a paid tax preparer e-files a client’s tax return, this form needs to be filed and signed to allow the paid preparer to file the tax return on the taxpayer’s behalf.
