Rejected Because of EIN

Sometimes, filers will find that their Employer Identification Number is the source of their rejection.

This can sometimes happen if the EIN that you entered doesn’t match the EIN the IRS has on record.

If that’s the case, you need to contact the IRS directly to find out what information they have in their system.

If you have a brand new EIN, it will take on average about 10 business days for the EIN to register in the IRS system for you to e-file.

If you try to e-file your 2290 the same day that you receive your EIN, it will be rejected and the reason will be the “EIN does not match business name”.

After your new EIN is registered in the IRS system, you can simply re-transmit your 2290 return (for free) and it should be accepted as long as there aren’t any more errors.

Rejected Because of Duplicate Filing

Your 2290 can only be accepted by the IRS one time. If you receive this particular rejection, it means your 2290 has already been filed and confirmed by the IRS.

The good part about this rejection, is that it requires no fix because your return has already been filed!

Rejected for Routing Issues

If you face a Routing Transit Number Rejection, it has to do with your payment. If you paid using the Electronic Funds Withdrawal (EFW) option, a bank routing number is required.

If the wrong information was entered for your routing number, your 2290 will be rejected. You can correct the routing and re-transmit to the IRS and should receive confirmation of acceptance in only a few minutes.

Note: If you entered the incorrect routing number or bank account number and the return is accepted, it is up to you to contact the IRS to resolve the issue. For best practices, always double check your numbers before transmitting your return to the IRS.

Heavy Vehicle Use Tax (HVUT) Information

HVUT is the Heavy Vehicle Use Tax that is a fee assessed annually on heavy vehicles operating on public highways at registered gross weights equal to or exceeding 55,000 pounds. The gross taxable weight of a vehicle is determined by adding the unloaded weight of the motor vehicle and any trailers together with the maximum load customarily carried on-road by the truck-trailer combination.

You must file Form 2290 for the tax period beginning on July 1, 2012, and ending on June 30, 2013, if a taxable highway motor vehicle (defined below) is registered, or required to be registered, in your name under state, District of Columbia, Canadian, or Mexican law at the time of its first use during the period and the vehicle has a taxable gross weight of 55,000 pounds or more.

There are a few instances where a vehicle is exempt from paying the HVUT tax, even if most of those instances; a Form 2290 is required to be filed even if no tax is due. You can find detailed information on the IRS site at www.irs.gov/trucker.

You need: Business Details – Business Name (Sole proprietor can use their legal name) and address, EIN (Employer Identification Number), details of the authorized signatory.

Vehicle Details – Vehicle Identification Number (VIN) and Gross Weight of the Vehicle

Heavy Vehicle Use Taxes must be filed using the Form 2290 on an annual basis. The Tax period for Heavy Vehicles begins on July 1st and ends on June 30th.The Annual renewal of your Form 2290 for a new tax period IS DUE BY August 31st each year.  If your vehicle is placed in service anytime during the tax year, the Form 2290 must be filed by the last day of the following month. The tax will be prorated based on the number of months the vehicle will have been used during the tax year. If a vehicle was used during any part of a month, the tax will be calculated for that month as a whole.

For New Vehicles placed in service, the IRS Form 2290 must be filed by the last day of the month following the month of first use. For example, if you purchase and first use a vehicle in January, you must file a Form 2290 by the end of February.

You can still paper file, but the IRS requires anyone filing for 25 or more vehicles do so electronically and recommends that everyone do so.

IRS Labor Day Planned Maintenance Outage

The IRS shut down many of its services at 1PM EST on Friday, August 31, 2012 and will remain down until Tuesday, September 4, 2012 for a planned maintenance and upgrading an electrical system.

Some of the services that will be affected by the temporary outage are:

  • Toll-Free Services
  • Employee Identification Numbers
  • Electronic Federal Tax Payment System (EFTPS)
  • E-Filing Services

For specific details on which IRS departments and services will be unavailable, go to www.irs.gov/uac/Available-IRS-Services-during-the-Labor-Day-Planned-Maintenance-Outage.

August 31, 2012 marked the Form 2290 for Heavy Vehicle Use Tax Deadline.  If you were mailing in your return, it had to be postmarked by Friday, August 31, 2012 in order to meet the deadline.  If you did not get your return filed on time, the IRS has extended the E-Filing Form 2290 deadline until Friday, September 7, 2012.  So you can still file your return to meet the extended E-File Deadline.
